Zoom Meetings – Video Conference Setup for a Meeting Room Join Button (macOS)


This work instruction is intended to guide you on how to book a Video Conference room with Zoom integration, which enables you to join the meeting with a single button press on the Video Conference unit in the room.

Put simply, OBTP (One Button to Push) means that attendees will be presented with a big green "Join" button on the Video Conference control panel to commence participation in the scheduled conference, bypassing the need to enter a Meeting ID or Password.
 
 

Supported spaces:

  • Rooms with a Cisco Touch 10, with Office 365 Calendar
  • Rooms with a Cisco Touch 8, with Office 365 Calendar

Not Supported:

  • ACA Rooms
  • AMX/DARCS Rooms

OBTP Requires Office 365 Calendar.

Setup Instructions

  1. Launch 'Outlook'.

  2. Select the Calendar tab.



  3. Once in the Calendar view, select 'Meeting' on the top toolbar.



  4. Add the Meeting time and date information as required.



  5. Select 'Add a Zoom Meeting' to generate a Zoom Meeting invite. You will see the meeting details in your Outlook meeting invite. 

    Note: First time users may be prompted to sign on with their Deakin credentials. If this is the case, use the 'Sign on with SSO' option.

  6. You can also select 'Settings' to customise your Zoom invite settings and then select 'Add Zoom meeting'.



  7. Your meeting invite will now be generated.

    Tip: Remember to hit Enter after the Zoom URL in the main text field of your meeting invite to turn it into a hyperlink. This will make sure attendees can click the link in their invite.
  8. Add the room(s) you'd like to be a part of your Zoom call by clicking the Address Book icon, then 'Search' for the desired room.



  9. In the Advanced Options section of the Zoom Settings, select Show. The Advanced Options should now be visible.




  10. Tick the Enable join before host checkbox. Click on the Update button in the Zoom meeting settings.



  11. Double check your invite details are correct and click Send.

If you are using Meeting Password/Passcode, and if there are Video Conference Rooms joining the conference, only use Numbers  in the Meeting Password

This is because SIP and H.323 video conference rooms cannot enter letters when prompted for a meeting password, they can only enter numbers using the DTMF Number Pad.

 

Amending an Existing Zoom Video Conferencing Meeting

  1. Open your existing Zoom meeting from the Outlook Calendar Tab.



  2. Update the time, date and other details as needed.



  3. Click 'Zoom Settings'.



  4. It's important that you click 'Update' after you have amended your invite but before you hit send.



  5. Double check your invite details are correct and click 'Send'.
