How do I request a new file share, or request access to an existing file share?

Each area within Deakin nominates one or more File Share Data Stewards who are responsible for the creation and management of file shares for their area.

The IAM share directory contains a list of file shares categorised by organisational area and is where you can request access to a share or contact the responsible data steward.

 

How do I find what file shares I have access to?

From IAM you can visit the My Shares page to see all the shares that you have access to.

You can also use the My Shares page to create a Rapid Share or manage any file shares to which you have been assigned as an owner.

 

What path should I be using to access my file share?

If you know the short name of your file share, then you can access it using the standard path of:

Why can't I access my file share from a personal or off campus device?

If you are having trouble accessing a file share from a personal, off-campus, or non-Deakin Desktop workstation, there are a few things you can check:

If you are still having problems accessing your file share double-check the path you are using to connect to your file share. The path you are using should be in the format \\share-name.shares.deakin.edu.au\share-name. See the previous section titled What path should I be using to access my file share? for more information.

 

Why do some folders in my file share have shortcut icons?

In early 2018 changes were made to the way the now deprecated shares.deakin.edu.au server works in order to better work with Windows 10 computers. A side effect of this may be noticed when looking at the top level of a file share (for example \\example-faculty.shares.deakin.edu.au\example-faculty) on a Windows computer - the folders may appear with a "shortcut" icon.

This can be safely ignored as it is purely cosmetic and does not change the way your file share works, however, you should start using the new standard share paths detailed in the above section What path should I be using to access my files share when accessing your file share. These newer paths are in the format \\share-name.shares.deakin.edu.au\share-name and do not experience this issue.

 

Why is the size of my file share displaying incorrectly?

A side effect of this is may be noticed when mapping the top level of your file share - for example '\\shares.deakin.edu.au\example-faculty' (Windows) or 'smb://shares.deakin.edu.au/example-faculty' (Mac) - is that your share may appear smaller than it really is.

This can be safely ignored as it is purely cosmetic and does not change the way your file share works or the amount of space available, however, you should start using the new standard share paths detailed in the above section What path should I be using to access my files share when accessing your file share. These newer paths are in the format \\share-name.shares.deakin.edu.au\share-name and do not experience this issue. 

I am on a Mac and sometimes a share folder loads very slowly

When you map or access a share drive for the first time on a Mac it can take 30 seconds or more to load. This is because your mac is checking the contents of the file share in the background to determine how best to present the contents of the folder (including what icons to display) before it shows you anything.

This is a known problem that is typically only seen the first time a share drive is accessed.
