Mail merge using a shared/department mailbox (Bulk mailing) - Windows

Mail merge can be used to create multiple emails with the same template, which are addressed to different students or staff members. This feature can be used to send bulk emails using a shared/department mailbox. In order to send bulk emails using a shared mailbox, a new mail profile needs to be created first. This new mail profile should be created using the E-mail address for the shared mailbox that you intend to use.

Creating a new mail Profile - Windows

  1. Open "Run" by searching for it using the search bar at the bottom left or using Windows + 

  2. Type outlook.exe /profiles in the text field



  3.  Click on Options to open the Mail Profile Configuration Screen



  4. Click on New 



  5.  Name the new mail profile and press OK after
    Note: If you have multiple profiles, a good naming convention would be [ddmmyy - Profile], this allows you to know when you created the profile.



  6.  Outlook will automatically search for your Deakin email address. If your email address is not showing up, make sure to click the little down arrow to show all emails addresses Outlook found.



  7.  Congratulations, you've created your new mail profile. Please allow up to 60 minutes for all items in your Outlook to start appearing. If you need to access an item in your Outlook that isn't visible in the new mail profile yet, please try visiting your Outlook via the Outlook Web App.

How to change Mail Profile

  1. To change mail profiles, please follow steps 1 - 3, above.

  2. Once you have the Mail Profile Configuration Screen, using the drop down menu for the Profile Names, choose the Mail Profile that you want to make your default profile

  3. After that, make sure to put a check on the "Set as Default Profile" checkbox and save by pressing OK
